# Paste budget figures from Excel

> Copy budget figures from Excel or another spreadsheet and paste them straight into the budget cells of a Caleido report, with no separate import.

You can bring budget figures in from Excel by copying them straight into a report. There is no separate import step. This is an efficient way to enter, for example, a monthly revenue budget at general ledger account level.

## How pasting works

* Paste into the budget cells of a report. Pasting into actuals cells does nothing
* A row of values fills consecutive budget periods to the right, starting from the cell you paste into
* Several spreadsheet rows fill the report rows below, one spreadsheet row per report row. Put the accounts in the same order as the report rows and you can paste them all at once
* Each value is written into its cell as if you typed it. An empty cell gets a new one-time budget item, and a cell with one budget item gets the new amount. See [Budget in the report grid](https://support.caleido.io/guides/budgeting/budget-in-the-report-grid.md)
* Empty cells in the copied range are skipped

Caleido cleans up number formatting before it saves the values:

* spaces and other thousands separators are removed
* both a comma and a period are accepted as the decimal separator
* currency symbols, such as € before or after the number, are removed
* a value in brackets, such as (1,250), becomes negative
* a percentage, such as 15 %, becomes a decimal (0.15)

If a value can't be read as a number, it is skipped and Caleido shows a message.

> [!NOTE]
>
> The budget must not be locked. If it is, Caleido shows **Budget locked** and nothing is pasted. See [Manage budgets](https://support.caleido.io/guides/budgeting/manage-budgets.md).

## Paste the figures

**1. Prepare the figures in Excel**

Build the budget figures in Excel, for example last year's actuals plus growth. Put the values for one account on one spreadsheet row, in the same period order as the report columns. For several accounts, put the rows in the same order as on the report.

**2. Copy**

Select the cells in Excel and copy them (Ctrl+C, or Cmd+C on Mac).

**3. Paste into the report**

In Caleido, open the report and make sure it shows budget columns for the right budget. Click the first budget cell you want to fill, for example January on the account row, and paste (Ctrl+V, or Cmd+V on Mac).

**4. Check the budget items**

The pasted values are saved automatically and the report updates. To check the item type, account, VAT rate, invoicing date, payment terms and dimensions, select the cells and open the **Overview** panel. See [Edit budget items](https://support.caleido.io/guides/budgeting/edit-budget-items.md).

> [!NOTE]
>
> If Caleido can't tell the item type from a row, the pasted values open as a new budget item in the **Overview** panel. Pick the **Item type** and click **Save**.

## Spread one value over several cells

You can also paste one value into many cells at once.

1. Copy a single value.
2. In Caleido, select the budget cells you want to fill, for example twelve months on one row.
3. Choose how to paste:
   * Ctrl+V (Cmd+V on Mac) puts the same value in every selected cell
   * Ctrl+Shift+V (Cmd+Shift+V on Mac) divides the value evenly across the selected cells. For example, 120,000 pasted over twelve months gives 10,000 per month
