Type a value into a cell
1
Select a budget cell
Click a budget or forecast cell on the row you want to budget, for example January on a revenue account. A single click only selects the cell.
2
Type the value
Start typing to replace the value, or press Enter (or F2, or double-click) to edit the value that is already in the cell. Enter costs as negative values. You can type a calculation, for example
1000*1.1.3
Confirm
Press Enter. The value is saved and the cursor moves to the cell below, so you can keep typing down a column. Press Escape instead to cancel the edit.
- Empty cell: Caleido creates a new one-time budget item for that period. The row decides the item type, account and dimensions. If Caleido can’t tell the item type from the row, a new budget item opens in the Overview panel so you can pick the Item type and click Save
- Cell with one budget item: the amount of that budget item changes. If the budget item is part of a recurring series, only this period changes
- Cell that adds up several budget items: the Multiple budget items window opens. See Cells with several budget items
If you type into a period outside the budget period, Caleido shows Editing outside the budget period with the budget’s dates. The value is still saved.
Set budget item fields with the helper
The field helper opens under the cell and lets you set any field of the budget item by typing.1
Open the helper
While you are typing in a cell, press Arrow down. The typed value stays in the cell behind the helper and is not saved yet. On a selected cell that you are not editing, press M.
2
Pick a field
Type the name of a field, for example freq, and press Enter. Type
* to see every field. If the budget item already has a value for the field, it appears next to the field name.3
Pick a value
Type or use the arrow keys to find the value, for example Monthly, and press Enter. The field and its new value drop down as a row in the helper, and focus moves to Apply.
4
Add more fields
Press Arrow up to return to the search box and repeat for other fields, for example Counterparty or a dimension.
5
Save
Press Enter on Apply, or click it. With nothing typed in the search box, Enter in the box also applies. Apply saves the typed cell value and every field change, and closes the helper.
-2000 in the first month, press Arrow down, type freq, press Enter, pick Monthly, press Enter and press Enter again on Apply. Caleido creates a recurring budget item that repeats every month until the budget’s model end.
Fields you can set
- Item type
- Account
- Counterparty
- Memo
- Frequency
- Start date and End date (type dates as d.m.yyyy)
- Credit card
- Settings, such as the VAT rate, invoicing date and payment terms
- Every dimension, such as a department or cost center
Move around in the helper
- Arrow down / Arrow up: move to the next or previous field, value or button
- Arrow up at the top: return to the cell. The helper stays open
- Ctrl + Arrow down / Arrow up (Cmd on Mac): jump from one field’s box to the next
- Tab / Shift+Tab: move between the helper’s fields. You can make Tab move between cells instead in the settings
- Enter in a field row: take the value shown and move to Apply
- Escape: in a field row, undo what you typed and go back to the search box. In the search box, drop the field you started. Elsewhere, close the helper and throw away the typed cell value
- Backspace in an empty search box: remove the value chip, then the field chip
Rows, pins and undo
- Each field you set becomes a row with its own value box and list
- Click the pin on a row (Pin this field) to show that field for every cell you open the helper on
- Click the undo icon on a row (Undo this change) to put the field back to its saved value
- Click Undo last change in the helper footer to revert the last saved change
Fill a value across periods
1
Select the source cell
Click a single budget cell that holds one budget item.
2
Drag the fill handle
Drag the small square in the bottom-right corner of the cell to the right, across the periods you want to fill, and release.
- A one-time budget item is copied into the empty cells you drag over. Cells that already hold another budget item are skipped
- A recurring budget item fills its own periods with the dragged value. Dragging past the end of the series extends the series
- If some of those periods were changed by hand, Caleido asks what to do with them: Keep n changed, Override n changed or Cancel fill
- When cells are skipped, Caleido shows how many were filled and how many were skipped, and why
Delete values
- Select one or more budget cells.
- Press Delete (or Backspace). You can also right-click and select Delete.
- Caleido lists the budget items in the selected cells. Check them and click Delete.
Change one period or the whole series
When you change the amount, memo, a setting, the frequency, the start or end date or the item type of a recurring budget item, in the helper or in the Overview panel, Caleido asks which periods the change applies to (Apply change to series):- This period only: only the period you edited changes. The other periods keep their values. Available for the amount, memo and settings
- This and following periods: the change applies from the edited period onward. The series is split in two and earlier periods keep their current values
- All periods: every period in the series is updated. Periods you changed by hand keep their own values
Cells with several budget items
A cell can add up several budget items, for example two salary items in the same month. When you type a value into such a cell, the Multiple budget items window lists the budget items and asks what to do with the typed value:- Add: create a new budget item with the typed value next to the existing ones
- Replace all: replace the existing budget items with one budget item that has the typed value. For each recurring budget item, choose This period only, This and following periods or Entire series
- Delete marked: delete only the budget items you marked with Delete this item
- Open overview panel: edit the budget items one by one instead
Helper settings
Click the gear icon (Field picker settings) in the helper footer:- Helper width: Normal, Wide or Wider starting width
- In the field selector, tab: choose Moves between fields here (default) or Moves between cells
- In the field selector: left and right move between cells: off by default. When off, the side arrows only move the text cursor and Escape closes the helper
- In a cell: left and right move between cells: on by default. The side arrows leave the cell once the text cursor reaches the end of the text
- In a cell: up moves to the cell above: off by default. When off, Enter or Escape leaves the cell
- Auto-save: on by default. Saves field changes when the cell cursor moves, without Apply. You can also switch it with the disk icon in the helper footer
- Confirm bulk edits: off by default. Asks before saving a change that affects more than one budget item
- Keep the field list open: shows every field without typing
