Caleido builds the profit and loss statement, the balance sheet and the direct cash flow from your accounting data. To do that, every account in your chart of accounts needs a place in each statement it belongs to. Most accounts are placed automatically by their account number. Account mapping is where you place the rest and correct anything that landed in the wrong row.
When accounts are unmapped, Caleido tells you: the report header shows an Accounts chip with the number of unmapped accounts, and the Settings row in the sidebar shows a dot. Click the chip to open Account mapping directly.

Open Account mapping

1

Open Settings

Click Settings in the sidebar, or open the account menu at the bottom of the sidebar and select Settings
2

Open Account mapping

Under Accounting, click Account mapping. It opens on top of Settings. Click Full screen in its header, or the arrow next to Account mapping in the settings list, to open it as a page of its own

How the screen works

  • Left: Unmapped. The accounts that still need a place in the selected statement, with a count. Use Search to find an account by number or name
  • Right: the statement. Tabs for Profit & loss, Balance sheet and Cash flow. Each tab shows the statement’s rows with their account Range and a Mapped count. A tab with open work shows how many answers are still open
  • Expand one level and Collapse one level open and close the statement tree step by step
This page covers Profit & loss and Balance sheet. The Cash flow tab works a little differently and is explained in Map accounts to the cash flow.

Map accounts

1

Choose the statement

Click the Profit & loss or Balance sheet tab
2

Select accounts

In the Unmapped list, click the accounts you want to place. Click again to clear a selection
3

Drag them to a row

Drag the accounts onto the statement row where they belong. Only the lowest-level rows accept accounts. Rows that can’t take the accounts are dimmed while you drag
4

Check the result

A check mark confirms the save. The accounts now appear under the row, and the row it belongs to opens so you can see them
Changes are saved straight away. There is no separate save button. An account sits in one row per statement. If you drag an account that is already mapped onto another row, it moves there. When every account is placed, the list shows Profit & loss is mapped or Balance sheet is mapped, with a button to go to the next statement that still has open accounts.

Change or remove a mapping

1

Find the account

On the statement tab, use Search above the statement to find the account, or expand the rows
2

Select it

Tick the account. Tick a row to select every account under it
3

Unmap

Click Unmap. The button shows how many accounts are selected. The accounts move back to the Unmapped list, where you can drag them to the right row
