You create a budget in the budget panel. You give the budget a name, a period and a status, and then build it on a report by adding budget items.

Open the budget panel

Use any of these:
  • In the sidebar, click New and select Budget. The budget panel opens with a new, empty budget
  • On a report table, open Actions and select Data > Budget panel…
  • On a page that uses one budget for the whole page, click the budget name in the top bar and select New budget

Create the budget

1

Name the budget

In the budget panel, click New budget. In the Create budget window, type a Budget name (for example Rolling 2026) and click Create new. Budget names must be unique.
2

Set the details

The budget details open in the panel. Fill in:
  • Short name: a short label that keeps report column headers readable
  • Start date and End date: the first and last month of the budget period
  • Status: Draft while you work on it, Approved once it is confirmed
  • Set as default: makes this the budget everyone sees by default
  • Lock budget: prevents edits to the budget and its budget items
3

Set the model end

Under Model settings, Model start follows the start date. Set Model end to the last month that recurring budget items are generated for. It must be on or after the budget end date.
4

Save

Click Save. The panel returns to the budget list.
Set Model end to the same month as End date unless you want recurring budget items to continue past the budget period, for example for a rolling forecast.

Show the budget on a report

A report table shows the data of one budget at a time.
  • On a workbook tab, pick the budget in the table’s budget selector
  • On other pages, click the budget name in the top bar and select the budget

Add your first budget item

  1. Make sure the report shows a budget column.
  2. Click an empty budget cell on the row you want to budget, for example January on a revenue account.
  3. Type an amount.
  4. Press Enter for a one-time budget item. To make it recurring instead, press Arrow down, type freq in the field helper, press Enter, select Monthly, press Enter and press Enter again on Apply.
Caleido creates the budget item on that row and saves it automatically. The row decides the item type and account. If Caleido can’t tell the item type from the row, the new budget item opens in the Overview panel instead. Check the Item type, Frequency and Start date there and click Save. See Budget in the report grid for everything you can do in the cells. You can also open Actions and select Add > Create budget item…, then choose an item type. To fill a budget quickly from last year’s actuals, use the budgeting wizard. To fill it from a spreadsheet, see Paste budget figures from Excel.
