Most organizations keep several budgets side by side, such as an approved annual budget and a rolling forecast. This page shows how to choose which budget you see, which one opens by default and how to protect a budget from changes.

Switch the active budget

The budget menu in the top bar shows the active budget. Reports and pages outside workbook tabs use this budget.
  1. Click the budget name in the top bar.
  2. Click the budget you want. A check mark shows the active budget.
In the list, Default marks the default budget and a lock icon marks a locked budget. With ten or more budgets, use the search field at the top.

Edit, duplicate or delete a budget

  1. Open the budget menu in the top bar.
  2. Click the pencil icon next to the budget. The budget panel opens.
  3. Change the details and click Save.
To duplicate or delete the budget, click Actions at the bottom of the panel and choose Duplicate or Delete. You are asked to confirm before a budget is deleted. To create a new budget, see Create a budget. To copy one, see Copy a budget.

Set a default budget

The default budget is the one Caleido opens for everyone in the organization at the start of a session. It is also the budget that curated workbooks show until you pick another one.
  1. Open the budget panel for the budget (pencil icon in the budget menu).
  2. Turn on Set as default.
  3. Click Save.
Only one budget can be the default. Setting a new default removes the setting from the previous one.

Lock a budget

Lock a budget when it is final, for example after the board approves it. A locked budget and its budget items cannot be edited.
  1. Open the budget panel for the budget.
  2. Turn on Lock budget.
  3. Click Save.
If anyone tries to edit a locked budget, Caleido shows a Budget locked message with an Unlock budget button. The button opens the budget panel, where you turn off Lock budget and click Save.
Lock your approved budget and keep a separate, unlocked budget for forecasting. You can then compare the two on the same report.

Pick a budget for a report element

In a workbook, each table has its own budget. This lets you show the same report against different budgets on one tab.
  1. Open the workbook tab.
  2. On the table, open the budget selector (Select budget when none is chosen).
  3. Pick the budget.
The choice is saved with the element. If a table has no budget, it shows No budget selected until you pick one.

Curated workbooks

Curated workbooks follow the organization’s default budget. You can change this without making your own copy of the workbook:
  • To change one table, use its budget selector. The choice applies to you only
  • To change every table in the workbook, use View against budget next to the tabs
  • Tick Apply for the whole organization to make the choice for all users in your organization
The bottom of the list shows where the current budget comes from: Your selection, Set by your organization or Organization default. Click Reset to default to remove your own selection.
