A report template defines the rows of a report: which accounts, dimensions, formulas and titles it shows, in which order and with which formatting. You edit templates in the Builder. When you save a template, every report table, chart and workbook tab that uses it shows the new structure.

Open the Builder

1

Open the New menu

In the sidebar, click New and select Template. The Builder opens with the template you edited last
2

Pick a template

Click the template name at the top left to open the template list. It has three tabs: Shared (your organization’s templates), Favorites and Library (Caleido’s ready-made templates). Search by name and click a template to open it
To start from scratch, click Create new, enter a Name in Create report template and click Create. Hover over a template in the list to see more actions:
  • Open in new tab opens the template in a new browser tab
  • Duplicate creates a copy that you can edit without touching the original
  • Delete removes the template. Library templates can’t be deleted
When you open a template from the Library tab, Caleido creates a copy of it in your organization. You edit the copy, and the library original stays as it is.

Add rows

The left panel lists everything you can add to a template. Use the tabs to switch between All, Dimensions, Formulas, P&L, Cash flow, Bank, Balance sheet, Layout and Metrics, or type in the search field. Cash flow and Bank appear only when your organization has data for them.
  • Drag an element onto the template. Drop it between rows, or onto a row to nest it under that row
  • Double-click an element to add it to the end of the template
  • Right-click a row and select Insert above, Insert nested or Insert below to pick an element from the Insert element list
The Layout tab has elements that structure the report without data: Title, Group, Divider and Half divider.

Edit and arrange rows

Right-click a row to open its menu:
  • Change… swaps the row for another element in the same position
  • Duplicate copies the row
  • Row formatting…, Copy style and Paste style control how the row looks. See Format rows
  • Remove deletes the row and everything nested under it
Each row also has icons on the right:
  • Row options (three dots) on top-level data rows: Multiply by −1 flips the sign of all values, for example to show debits as negative in a cash flow report. Cumulative shows values as a running total
  • Row formatting… (palette icon)
  • Edit name (pen icon) renames the row in this template
  • Delete row (trash icon)
Drag a row to move it. To select several rows, Ctrl-click (Cmd-click on Mac) or Shift-click them, then press Delete or Backspace to remove them all.
A row that is used in a formula shows a lock icon and can’t be deleted. Remove it from the formula first.

Build a formula

Formula rows calculate values from other rows, for example gross margin or a percentage.
1

Add a formula row

On the Formulas tab, drag Formula onto the template
2

Open the formula

Click the formula row. The Formula panel opens on the left
3

Name it

Type a name in Formula name
4

Build the calculation

Drag rows from the template or elements from the lower part of the panel into the formula area. Type numbers and the operators + - * / ( ) with your keyboard, or click Add (the + icon) and use the Element and Operator tabs. Backspace removes the part before the cursor, and the arrow keys move the cursor
5

Save the formula

Click Save in the Formula panel. Cancel discards the changes to the formula
The formula toolbar has more options:
  • Format (brush icon): show the result as Nominal or %, set Decimals, and under Column settings choose Show column totals, Use latest series value or Use sum of series values. Positive change in red reverses the colors of change columns, which suits cost rows
  • Modify (clock icon): select a formula part and set its Offset (Current period, Previous period or Previous year) or a Rolling average (months)
  • Remove (X icon) removes the selected formula part
A formula that you want to reuse in other templates can be saved with Format > Save as metric. Save the template first. Saved metrics are listed on the Metrics tab.

Subtotals

On the Formulas tab, Subtotal adds a formula that sums the rows in its group. With Automatic update switched on (under Format), the subtotal follows the rows in its group as you add or remove them. Switch it off to edit the subtotal formula by hand.

Format rows

1

Open row settings

Right-click a row and select Row formatting…, or click the palette icon on the row
2

Choose settings

Row settings has four tabs:
  • General: Indentation level, Default expansion level, Sort by, Polarity, Transaction line grouping, and switches such as Show subtotal in row, Show as capsule, Hide row, Lock expanded and Pin to bottom of report
  • Row header: Title size, font, border and background colors for actual, budget and forecast columns
  • Numbers: font color, Negative color and style of the numbers
  • Alternating colors: striped rows. This setting applies to every row in the template
3

Apply

Click Apply
Copy settings and Paste settings at the bottom of Row settings copy the formatting from one row to another. You can do the same from the right-click menu with Copy style and Paste style. To format many rows at once, click Bulk edit at the top, tick the rows you want, and open Row formatting… on one of them. The title shows how many rows the changes apply to.

Template settings

Click Report template settings (gear icon) to choose the Default view for reports that use the template: Tree view or Flat view. Switch on Lock view mode to keep users from changing it.

Save and preview

  • Undo and Redo step through your changes
  • Preview opens the report built from the saved template
  • Save saves the template. Caleido warns you if you try to switch templates with unsaved changes
